ShootSlate

Privacy policy

Last updated November 2, 2026

1. Who we are

ShootSlate is a pre-production and production platform for film and TV, operated by Charlie Yang, British Columbia, Canada ("we", "us"). This policy covers the website at shootslate.com and app.shootslate.com, and the ShootSlate iPhone app. For anything about your privacy, write to hello@shootslate.com.

Person responsible for privacy. Charlie Yang, owner of ShootSlate, is responsible for protecting personal information at ShootSlate and answers privacy questions and requests at hello@shootslate.com.

2. What we collect

Your account. Your username, email address, and name if you give one. Your password is stored only in scrambled (hashed) form; we can't read it. If you sign in with Apple or Google, we receive your name and email address from them.

What you and your team put into ShootSlate. Scripts and their revisions, notes and markup, breakdowns, schedules and stripboards, shot lists and storyboards, call sheets, budgets and expenses, imported files, location details and photos, takes, and daily reports.

Information about cast and crew. Productions add the people working on them: names, roles, phone numbers, email addresses, dates they can't work, and pay rates. When someone opens their personal call-sheet link or presses "Got it", we record that and when. The production that adds this information decides what to add and is responsible for having the right to share it with us (see section 9).

Payments. Payments are handled by Stripe. We receive your plan, whether payments succeeded, and a Stripe customer reference. We never see or store full card numbers.

Technical information. Our hosting providers record basic request logs (such as IP address, browser type and the page requested) to keep the service secure and working. If you turn on on-set alerts, we store the notification address your browser or phone gives us, and the time zone of phones on set so alerts use local time. We keep a record of emails we send (who to, subject, when, and whether it was delivered).

We don't use advertising, analytics or tracking tools.

3. How we use it

We don't sell or rent personal information, use it for advertising, or use your content to train AI models.

4. Pay stays private

Cast and crew pay rates are only visible to people the project's owner gives the full budget. Everyone else on a project sees either budget totals with pay as a single line, or no budget at all, which is the default for anyone invited. Emails that can be forwarded, such as daily reports, show pay as one combined line.

5. AI features

Some features use artificial intelligence from Anthropic (the Claude models): scene rewrites, script notes, "make it cheaper" budget ideas, and the tax-credit lookup. They run only when someone on the project presses the AI button, and only the content needed for that request is sent:

Anthropic processes this to produce the answer under its commercial terms, which don't allow it to use this content to train its models. AI answers can be wrong; check them before relying on them.

6. Who we share it with

Only with the services that run ShootSlate for us, each limited to what it needs, and with the people you choose:

ServiceWhat for
RenderRuns the website and app servers (United States).
SupabaseStores the database and uploaded files, such as photos and storyboards (United States).
CloudflareOur domain, network delivery, and forwarding of mail sent to shootslate.com addresses.
PostmarkDelivers our emails (United States).
StripeTakes payments and manages subscriptions.
AnthropicThe AI features, only when used (section 5).
Apple and GoogleSign-in, if you choose it, and delivering notifications to your devices.
OpenStreetMap and Open-MeteoWeather and sunrise on personal call-sheet links: our server sends a shoot day's location address to get its map position and forecast.
Google FontsYour browser loads some of our fonts from Google, which receives your IP address.

People you choose. Your teammates see what their access allows. Anyone with a share link, investor-pack link or personal call-sheet link can see what that link shows, so share links only with the people they're meant for, and turn them off when you're done.

We may also disclose information when the law requires it, to protect people's safety or our rights, or as part of a sale or reorganisation of ShootSlate, in which case this policy continues to apply.

7. Where it's stored

Our servers and database are in the United States (Virginia). If you're outside the United States, including in Canada, your information is transferred there and may be accessible to authorities under United States law.

8. How long we keep it

When you delete your account, we delete it straight away along with the projects you own and everything in them (section 10).

9. If you add other people's information

When a production adds cast and crew, it decides what to collect and why, and we process that information on its behalf to provide ShootSlate. If you add people, make sure you have their permission or another lawful basis, and tell them how their information is used, for example by pointing them to this policy. If you're on a production's cast or crew and want your information changed or removed, ask the production, or write to us and we'll help.

10. Your choices and rights

Depending on where you live, you may have further rights under local law, and we'll honour them. If you're not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.

11. Cookies and storage on your device

We use only what's needed to make ShootSlate work: a sign-in cookie and a security cookie that protects your forms, and, while you're signed in, a cookie that only says so, which lets our home page at shootslate.com show "Open ShootSlate" instead of "Sign in". Your browser also stores your light or dark mode choice, changes made offline until they can be sent, unsaved script drafts, and copies of recently opened pages so they open without signal. Signing out removes the stored pages. We don't use advertising or tracking cookies.

Do Not Track. We don't track you across other websites or over time for advertising, and no third party does so through ShootSlate. Because there's no such tracking to switch off, we don't change how ShootSlate works when your browser sends a "Do Not Track" or Global Privacy Control signal.

12. Security

Everything travels over encrypted connections (HTTPS). Passwords are hashed, uploaded files are private and shown through links that expire within an hour, and the database is locked to our servers. Access inside each project follows the roles and sections its owner sets. No system is perfectly secure; if a breach affects your information, we'll tell you and the authorities as the law requires.

13. Age

ShootSlate accounts are for people 18 and over. Productions may list younger cast members; their details should be added with a parent or guardian's consent, and we don't knowingly let anyone under 18 hold an account.

14. Changes to this policy

We'll post any change here with a new date. If a change significantly affects how we use your information, we'll also tell you by email or in the app before it takes effect.
